Proctorial System

  • The institution implements a Proctorial system under which each faculty isassigned the responsibility of 20-30 students.

  • Academic and personal counselling for the students are effectively carried out bythe proctor in regular intervals.

  • The parents are also being taken into confidence are being informed regarding thecontinuous improvement of their wards.

Mentoring System

  • Two mentors, among them one mentor is designated as a class teacher for each of the sections and the other mentor as proctor.

  • The class teachers have keen watch at a micro level about the students activities like their performance, abnormality in attendance, etc., whereas the proctor system

  • takes special care of students both academically and personally. A batch of 15 to 20 students is assigned to a proctor teacher throughout their 4 years stay at Gandhi

  • Institute of Excellent Technocrats, Ghangapatna, Bhubaneswar.

  • Each student is allotted with a faculty mentor (proctor), who maintains a proctor form with details like parents/guardians’ names, addresses, contact numbers and

  • academic details, academic scores,extra activities achievments .

  • Senior faculty members are available to all the students who are counselled individually and are supported in their aspirations related to academics, career plans; to

  • air their grievances and cope with issues that may slow down their progress.

  • All proctors encourage the student’s for participation (apart from curricular guidance) in co-curricular, extra-curricular, and other professional activities, which will

  • motivate them to stimulate their growth into well-rounded young professionals.

  • Regular orientation programs and parent meetings are conducted bringing parents into the monitoring/mentoring system as key stakeholder.

  • A student login is exclusively provided on the institutions ERP for by inviting sharing pertinent information like attendance and academic performance of the student.

  • Follow-up sessions with the parents/faculty/counsellors and mentors are regularly arranged with the students who have poor performance in academic and

  • attendance to enable them to improve their attendance and performance.

  • An effective Student Mentoring System (SMS) has already been implemented.

  • All the students of the institution are coming under this system from the date of joining.

  • A complete track of the student activities like academic curricular, co-curricular, extra-curricular achievements, social activities, and the details of parent meetings are

  • registered in the system.

  • Faculties will have a meeting with the students periodically and their academic progress and all his activities are discussed and noted in the register.

  • Any discrepancies in the student behavior and activites like attendance, academics, etc., will be questioned and counselled with care.

  • All proctors will enter all counselling details in an online "Proctor Management System" intranet portal .

  • The committees will scrutinize case by case and suggest corrective measures.

  • If necessary, the committee will have discussions with the parents and medical counsellor.

  • In this system, each section of a particular batch consists of 60 students. Three mentors and one class teacher are assigned to each section. The class teacher is

  • responsible for a keen watch about the student activities like performance, irregularities in attendance, etc. Similarly, these things have been controlled at the microlevel by the mentors.

  • Personal files are maintained for each of the students starting from the 1 semester to the 8 semester. If class teacher changes, the file is handed over to the next

  • semester class teacher which contains all information like address, parent phone no, semester result sheet, medical certificate (if any), etc.

  • This unique system reduces the communication gap between students,parents and the institute. If any of the students feel difficulties grass root level.If notresolveed it

  • shall brought to the attentaion of next level.
